Create New Tasks

  • Starter
  • Standard
  • Premium

There are a few different ways to create tasks in TaskRay. You can create tasks in any of the four All Work views, allowing you to build and manage your projects in different ways. One of the fastest ways to add tasks is by using the Quick Add feature when viewing a single project on the board. That way, the new task will automatically be associated with the viewed project. If multiple projects are on the board, you will need to specify the project for the new task before it can be created.

Note: By default, Holding is the List value that is assigned to all new tasks. It is possible to change this using the Modify Status Lists instructions. In addition, since the List field is used to define the columns in Kanban View, the default value of the field will be the column that is used for adding new tasks.

Furthermore, if you are creating tasks on a project that has task groups, you will have the option to add tasks directly to task groups in Plan View, as well as in Kanban and Row Views by entering Task Group Mode.

 

Kanban View

In Kanban, you can create tasks using the Add Task box at the top of the default list column.

  1. In the left sidebar, select a project by clicking on it to enter single project view.
  2. At the top of the Holding (or whichever is the default) column, type the task name in the Add task box.
  3. Hit Enter on your keyboard.
  4. The new task will be created and a Task Card will appear at the top of the list within the column.

If multiple projects are viewed on the board, Task Details will open up on the attempt to create a task so that you can specify the project that the new task should be added to. In Task Details, enter necessary task information and click on Save or Save & Close.

Tip: If you prefer to add tasks through Task Details, you can click on the New Task button for every task that you create.

 

Kanban View Task Group Mode

When you create tasks at the project level, they default to Ungrouped (in other words, they are not assigned to any task group). If you are using task groups to organize your projects, you can enter Task Group Mode in Kanban to quickly add tasks directly to task groups. Row View

In Row View, the way you create tasks is by adding them to groupings, which can be changed using the Group By control at the top of the view.

Adding a task to a grouping will automatically populate the field value on the task according to the grouping value. When grouped by date fields, added tasks will default to a date within their grouping range, but a date picker is available to change the date if necessary.

  1. In the left sidebar, select a project by clicking on it to enter single project view.
  2. Click on the + icon next to a grouping header.
  3. Type the task name in the field that appears below.
  4. Hit Enter on your keyboard. The new task will be created and added to the grouping.

Row View Task Group Mode

When you create tasks at the project level, they default to Ungrouped (in other words, they are not assigned to any task group). If you are using task groups to organize your projects, you can enter Task Group Mode in Row View to quickly add tasks directly to groupings within task groups. To add tasks directly to task groups, see the Add Tasks to Task Groups article.

  

Plan View

In Plan View, you can add tasks from the Projects & Tasks sidebar. If a project contains task groups, you can choose between adding a task to a specific task group or to the project, in which case the task will appear under Ungrouped in that project.

Add Task to Project

  1. In the Projects & Tasks sidebar, click on the + icon next to the project name.
  2. Select Add New Task.

  3. In the row that appears below, enter the task name and hit Enter on your keyboard.

The new task will be created and added to the bottom of the task list. If the project contains task groups, the new task will appear under Ungrouped.

 

Add Task to Task Group

In Plan View, you can add tasks directly to task groups from the Projects & Tasks sidebar. You can read about that in the Add Tasks to Task Groups article.

 

Calendar View

  1. In the left sidebar, select a project by clicking on it to enter single project view.
  2. Click on any tile on the Calendar.

    Tip: You can also click on a tile and drag your cursor to another date on the Calendar. This will automatically adjust the task duration.
  3. This will open up Task Details where you will be able to enter Task information. The Start and End Dates will automatically be populated based on your selection on the Calendar.

Spreadsheet View

In Spreadsheet, you can create tasks using the Add Task box at the top of the table.

  1. In the left sidebar, select a project by clicking on it to enter single project view.
  2. In the quick create, type the task name in the Add task box.
  3. Hit Enter on your keyboard.

Tip:  use the 'Add Details' button to pop-up a task modal, populate the relevant fields, and save.
