The Insights tab in the right sidebar in TaskRay is designed to provide a quick project health summary. It contains two sub-tabs: Overview and Charts. Under Overview, you will see four different sections that will display information, such as status updates, important milestones and dates, a summary of tasks that are at risk, as well as the distribution of tasks by status and team member. Under Charts, you will have the ability to make ad hoc charts using task information.
Depending on the TaskRay view that you are in, the Insights tab will display slightly different information. In Project View, the tab will use all selected projects and include information pertaining to any archived tasks. In the other All Work views, the tab will display refined information, using only the data from tasks that have been filtered on the board.
Additionally, the Info tab can be exported. You can read more about exporting the tab in the Exporting and Printing article.
Select Data to View in the Insights Tab
All Work Tab Views
When in any of the TaskRay All Work views (Kanban, Row, Plan, or Calendar), the Insights tab in the right sidebar will reflect the tasks that are visible on the board. Therefore, if the project(s) that you are viewing contain any archived tasks, the data from those tasks will not be reflected in the Insights tab.
You can control and refine the projects and tasks used for the Insights tab using board filters and by selecting/deselecting projects in the left sidebar.
Portfolio Tab Project View
In Project View, the Insights tab will reflect the projects or task groups that are selected on the page. In this view, the tab will also reflect any archived tasks that the selected project(s) or task group(s) contain.
Using the Project Filters menu at the top of Project View, you can control the list of projects visible on the board.
Once you have the list of projects visible, use the checkboxes next to project/task group names to control what project or task group data you want to see reflected in the Insights tab. As you make selections in the list, the Insights tab will display a badge with the number of selected projects.
To access the Insights tab, click on the Insights label in the right sidebar. Once it's open, you can click on Hide to collapse the tab.
When you open the Insights tab, you will see that it is organized into sub-tabs. The Overview sub-tab will be open by default and you will notice four different sections, each of which will display various project metrics.
The Snapshot section of the tab will display how tasks are distributed across different status lists, as well as the overall project completion, number of overdue tasks, number of tasks that are in a schedule conflict, and number of blocked tasks.
This section will display any milestones from the selected projects.
If a milestone is in a task group, you will see a task group label for that milestone. Each milestone will be indicated by a diamond symbol, which will be color-coded according to the status list that the milestone is in. Next to every milestone, you will also see the date on which the milestone is scheduled.
For additional information on the milestone, you can click on the milestone name to open up its details.
Tasks At Risk
In this section, you will see any tasks that are at risk, such as those that are overdue or those that are in a schedule conflict.
For every task in this section, you will see its due date, as well as the name of the project and task group that it belongs to (if it is in a task group). It is also possible to click on task names to open up Task Details.
Tasks By Team Member
This section of the Insights tab will show how tasks are distributed across team members, filtered by task status list. Using the Filter tasks by status list menu, you can select one or multiple status lists. This will organize the list of team members according to the number of tasks that they have in the selected status list(s).
The Charts sub-tab allows you to compare task data. You can choose one of five different Chart Types: Bar (Horizontal), Bar (Vertical), Donut, Line, or Pie. Next, choose the Aggregate Type, which can be average, count, or sum. Once those are set, configure Aggregate Field and Grouping Field. These options will contain fields from the TaskRay Task object and they will filter depending on the selected aggregate type.
