Filters help you keep your workspace organized in TaskRay. In addition to using standard filters, you can create custom filters and set specific criteria to refine the projects and tasks you see on the board. You can create individual task and project filters, as well as mix combinations of project and task filters to create new board filters.
When you create a custom board filter, you get to specify the criteria that you want to filter the projects and tasks by. Every board filter consists of a project filter and a task filter, which are used in combination to filter your projects and tasks. You can use various combinations of standard and custom project and task filters.
In the All Work tab, the board filters that you create will appear in the left sidebar, allowing you to quickly narrow down the visible records and focus on the desired projects and tasks. In the Performance tab, you will use standard and custom project filters to refine the list of visible projects in Portfolio View.
It is also possible to share custom board filters with other users in your organization. You can read more about this feature in the Share Filters article.
Create Project Filter
- You can access the Project Filter Setup from two places in TaskRay.
- Performance tab: When in Portfolio View, click on the Project Filters menu and select + Add Project Filter.
- All Work tab: When in any of the main TaskRay views, click on the + icon next to Board Filters in the left sidebar and select Project Filter. Click into the field and select + Add Project Filter.
- Performance tab: When in Portfolio View, click on the Project Filters menu and select + Add Project Filter.
- Under Show Me, select from My Projects, All Projects, Template Projects, Favorite Projects, or Archived Projects.
- Click Apply.
- Click on Add Filter under the Show Me box.
- Define your project filter criteria:
- Filter By (the options include standard and custom fields, as well as special filter options, such as Chatter Group or Topics)
- Operator
- Enter the Value (for example, if you selected Owner in the Filter By field and Equals in the Operator field, then you would enter the name of the desired user in the Value field)
- Click Apply.
- Optional: Customize task filter logic combinations by clicking on Add Filter Logic. Use AND and OR operators to fine-tune your results.
- After filters have been defined or selected, Name Project Filter.
- Click Save. The new project filter will be saved and is now available to use in the Power Filter or as an option in a custom Board Filter.
Create Task Filter
- In the All Work tab, in the left sidebar, click on the + icon next to Board Filters.
- Select Task Filter.
- Click into the field and select + Add Task Filter.
- Under Show Me, select from My Tasks, All Tasks, or Archived Tasks.
- Click Apply.
- Click on Add Filter under the Show Me box.
- Define your task filter criteria:
- Filter By (the options include standard and custom fields, as well as special filter options, such as Topics)
- Operator
- Enter the Value (for example, if you selected Priority in the Filter By field and Equals in the Operator field, then you would enter the desired Priority in the Value field)
- Click Apply.
- Optional: Customize task filter logic combinations by clicking Add Filter Logic. Use AND and OR operators to fine-tune your results.
- After filters have been defined or selected, Name Board Filter.
- Click Save. The new task filter will be saved and is now available to use in the Power Filter or as an option in a custom Board Filter.
Create Board Filter
Project and task filters can also be created during the board filter setup process.
- In the All Work tab, in the left sidebar, click on the + icon next to Board Filters.
- Select Board Filter.
- Select or Add Project Filter. Click into the field and select one of the default or custom saved project filters. Alternatively, select + Add Project Filter and create a new project filter.
- Alternatively, check the 'Do not apply a project filter' option if you want to only display projects in the sidebar that meet a task filter criteria.
- Select or Add Task Filter. Click into the field and select one of the default or custom saved task filters. Alternatively, select + Add Task Filter and create a new task filter. The option that you select will be the criteria by which the tasks will be filtered on your board. For example, you could choose to filter tasks by Priority or End Date, or you could choose to keep the filter at All or My Tasks.
- After project and task filters have been defined or selected, Name Board Filter.
- Click Save.
- The new board filter will be saved and will automatically appear in the left sidebar.
