The Time Tracking feature in TaskRay allows you to track time spent on working on tasks and projects. You have the option to enter time manually to each task, or you can use the Timer functionality to track time on tasks in a stopwatch manner.
Using the timer, users track time on their tasks in real time. After they start and end a timer, they can review the timer entry, as well as make any necessary updates to the entry before saving it to the task.
In Kanban and Row Views, any task on which you have started a timer will have the Clock icon in green to indicate that there is a running timer. Additionally, the Clock icon in the TaskRay toolbar will also turn green if you have any running timers.
If you do not see the time tracking features discussed in this article, that means that time tracking is not enabled in your org. If you would like to use this functionality, direct your Salesforce administrator to the Enable Time Tracking article.
Start Timer
A timer can be started from a task card from either Kanban or Row View.
- Locate the Task Card on which you want to start a timer and click on the Clock icon.
- This will open the Add Time box for the task. Click on the Timer tab.
- Click Start Timer.
This will start the timer, Timer tab will change to communicate that the timer is running and to provide new options for the active timer, and the Clock icon on the task card will change to green to reflect that there is an active timer on the task.
Stop Timer
A started timer will remain active until you select to stop it in Kanban and Row Views. To do this, follow the same steps as you did for starting it. Remember, tasks that have active timers on them will have a green Clock icon for visual reference.
- Locate the Task Card on which you want to stop a timer and click on the Clock icon.
- This will open the Add Time box for the task. The Timer tab should be open by default. You should see a Timer Running indicator, as well as a running total of hours that the timer has been active for.
- Click Stop Timer.
- This will change the tab to display the logged timer information for your review. Optionally, adjust the time entry before saving by modifying Billable, Type (if enabled), and Notes.
- Click Save to save the time entry on the task.
Note: If, at this point, you click Cancel or just close out of the Add Time box without saving, the time entry will be considered unsaved. In that case, you will be able to find it in the Time Tracking window under the Timers tab in the Unsaved Timers table. Read more about this below.
View All Active Timers
If there are any active timers that you have started, you will see the Clock icon in the TaskRay toolbar in green as a visual indicator.
TaskRay provides a centralized place where you can view all of your running timers. This ensures that you don't miss any active timers and allows you to manage them as needed.
- From any of the TaskRay views, click on the Clock icon in the TaskRay toolbar. This will open the Time Tracking pane.
- Click on the Timers tab.
- If you have any timers that have been started, but not yet stopped, those will appear in the Active Timers table. Every active timer will display information, such as how long it has been running for and what task it is on. Optionally, you can click on the task name to navigate to that task.
- Locate the active timer that you would like to stop and click Stop Timer. This will make the timer an Unsaved Timer (it will move to the table below, which is where you will be able to review and make changes to the entry as needed).
Manage Unsaved Timers
Any stopped timer that has not been saved to the task (thus turned into an actual time entry) will appear in the Unsaved Timers table in the Time Tracking pane.
There are two ways that a timer can appear in the Unsaved Timers table.
- From the Active Timers table: If a timer is stopped in the Active Timers table (instructions above), it will automatically get moved to the Unsaved Timers table.
- From the Add Time box on the task card: If a timer is stopped on the Add Time box on the task card, but the Save button isn't clicked (e.g. the box is just closed or the Cancel button is clicked), it will appear in the Unsaved Timers table.
Follow the steps below to access the Unsaved Timers table. From here, you will be able to review and modify the timer entries. Additionally, you will have the option to save the timer entries to the tasks (thus turning them into actual time entries), as well as delete them if needed.
- From any of the TaskRay views, click on the Clock icon in the TaskRay toolbar. This will open the Time Tracking pane.
- Click on the Timers tab.
- If you have any timers that have been stopped but not yet saved, those will appear in the Unsaved Timers table.
- Locate the timer entry that you would like to manage. Review all of the timer information and optionally modify any necessary information, such as Billable, Notes, Type (if enabled), and Hours.
- To save the timer entry to the task, click Save. The timer entry will disappear from the table and will be saved to the task as an actual time entry.
