Task owners can be assigned through the Task Details or by dragging and dropping a team member's icon from the right sidebar onto the task card. In the case that you don't have a specific user to assign a task to, tasks can be assigned to queues via the same process. When you assign a user to a task, that user receives an email notification (unless you specify otherwise in the Settings).
Additionally, it is possible to automate the process of assigning task owners for certain use cases. For more information, see Automatically Reassign Task Owners Using Flow.
Assign Tasks to Users
Assign Owner Through Task Details
- Locate the task that you want to assign an owner to and open its Task Details.
- For the Owner field, if there are any queues in your org, select User from the dropdown.
- Enter the name of the user that you want to assign the task to. You can use the lookup function to search for the user.
- Click Save or Save & Close.
Assign Owner Using Drag and Drop
From any of the TaskRay All Work views you can drag and drop a team member from the right sidebar onto the task card to reassign ownership.
- From the Team section in the right sidebar, drag the icon of the user that you want to assign to a task.
- Drop the icon onto the Task Card.
Assign Tasks to Queues
There could be times when there will not be a specific user to assign a task to. In such cases, those tasks can be assigned to queues. Queues can be empty, such as the TaskRay Unassigned queue, perfect for tasks contained in templates and not yet ready for owner assignment. Queues can also contain groups of users, such as a Customer Success or a Support queue, where members of the queue can view tasks available for assignment. To add custom queues, your System Administrator would have to set up custom queues before you can start using them in TaskRay.
Assign Queue to a Task Through Task Details
- Locate the task that you want to assign to a queue and open its Task Details.
- For the Owner field, using the dropdown, select Queue.
- Enter the name of the queue. You can use the lookup function to search for the queue.
- Click Save or Save & Close.
Assign Queue to a Task Using Drag and Drop
Queues that have tasks assigned for the selected projects will appear in the right sidebar in the All Work tab. In the sidebar, the Queue icons will display as monograms, showing the first letter of the first word of the Queue Label (it will also display the first letter of the second word if the name of the queue has two words).
- From the Team section in the right sidebar, drag the icon of the queue that you want to assign to a task.
- Drop the icon onto the Task Card.
Assignment Alerts
Users will be notified in two ways whenever a new task is assigned to them: in the app and via email.
In-App Notifications
In-app task assignment notifications can be viewed in the Notifications right sidebar tab when in the My Work View. Any time a new task is assigned to you, a New Task Assignment notification will be displayed in the sidebar. To access these notifications, click on the My Work tab in the TaskRay toolbar. This will take you to the My Work View and the Notifications right sidebar tab will open automatically.
Email Notifications
You will also receive email notifications whenever new tasks are assigned to you. Email alerts will include a link that you can click to access the task details. If you do not want alerts to be sent out when you change task owners, you can turn them off in the Settings.
