TaskRay allows defining Business Schedules and assigning them to roles and resources. Business Schedules generally represent your organization's schedule(s). For resources, it defines their base availability i.e. their working days. It consists of the days of the week they work minus the holidays they observe throughout a year.
Keep in mind, when configuring Business Schedules for TaskRay, you only need to set up the ones that will apply to managing work in TaskRay. In other words, you do not need to create every possible Business Schedule that exists in your organization; only the ones that will correlate with TaskRay resources. Once the necessary Business Schedules are defined, they can be assigned to resources.
Business Schedules are managed within the Business Schedules page of the Configuration Hub.
Create Business Schedules
Follow the steps below to add new Business Schedules:
- Navigate to the Configuration Hub and select the Business Schedules page.
- Click on the + Add New Business Schedule button in the top right corner.
- Enter a Name for the business schedule.
- Select the Working Days for the business.
- [Optional] Check the Holidays that apply to the business schedule. Don't worry if you don't see all of the holidays needed for the business schedule, we will walk through how to create these later on.
- Click Save.
- Repeat steps 2-6 until all business schedules for your resources in TaskRay are defined.
Holidays
Now that the base Business Schedule is defined, let's talk Holidays. Holidays are working days your resources have off. Holidays are secondary to a Business Schedule; however, if two groups of resources work the same days of the week, but observe different holidays, they will need their own business schedule.
To create Holidays:
- Navigate to the Configuration Hub and select the Business Schedules page.
- Using the toggle in the upper left corner above the table, click Holidays.
- Click on the + Add New Holiday button in the top right corner.
- Enter a Name for the holiday.
- Select the Date the holiday is observed i.e. if the holiday falls on a non-working day, enter the date of the working day your resources have off.
- Check the Business Schedules the holiday applies too.
- Click Save.
- Repeat steps 3-7 until all holidays for your business schedules have been defined.
Tip! We recommend setting up Holidays far in advance.
Manage Business Schedules
After initial creation, Business Schedules can be updated and maintained by returning the Configuration Hub. Changes to Business Schedules will flow through the applicable resource pool. This provides an easy way to maintain Resources with a share profile.
To edit a Business Schedule:
- If you are not already on the page, navigate to the Configuration Hub and select the Business Schedules page.
- Click on the Name of the Business Schedule you'd like to edit to open it.
- Make your updates.
- Click Save.
To edit a Holiday:
- If you are not already on the page, navigate to the Configuration Hub and select the Business Schedules page.
- Using the toggle in the upper left corner above the table, click Holidays.
- Click on the Name of the holiday you'd like to edit to open it.
- Make your updates.
- Click Save.
