Every team member (Resource) in TaskRay has a set business schedule that defines the general structure for working and non-working days--or, in other words, days on which the team member is available or not available for work in TaskRay. That being said, team members are also able to specify additional days on which they are not available for work, such as when they go on leave or take time off, or even if they need to attend a work event during which they would not be able to manage assignments in TaskRay. Designating additional days on which team members cannot work is done by entering time away.
A Note On Editions and Time Away
Depending on your edition, the Time Away functionality will be incorporated in the app in different ways.
- Standard Edition: Customers on this edition have access to enter time away and use the data for reporting purposes.
- Premium Edition: Customers on this edition have access to enter time away. Additionally, entered time away is incorporated in capacity planning for determining Resource availability for allocating work.
Time Away Lightning Component [Admin]
TaskRay provides a Lightning component for logging time away. In order for users to have the ability to log time away, this component has to be configured in Salesforce. There are two options for where the component can be placed:
- Salesforce Home Page: If the component is placed on the Salesforce Home Page, it will work within the context of the logged in user. In other words, it will automatically display any existing time away, as well as associate any newly logged time away for the running user. This is typically the main way that users will interact with the component.
- TaskRay Resource Record Page: If the component is placed on the TaskRay Resource page, it will work within the context of the record. More specifically, it will display any existing time away, as well as associate any newly logged time away with the Resource (record) on which the component is used. Using the component on the Resource page can be useful for managers who need to review and log time away for their team members.
Log Time Away
Time away should be logged for any day(s) that a team member is not available for work in TaskRay. This can include vacations, days off, and even company events during which the team member is not available to manage work.
- Navigate to a page with the TaskRay Time Away component and click on Enter Time Away.
- In the modal that appears, enter the Start Date and End Date of the time away.
- Enter a Description. This should specify what the time away is for.
- Click Save.
Edit or Delete Time Away
If it becomes necessary to make adjustments to time away entries or to delete them, follow the steps below.
- Navigate to a page with the TaskRay Time Away component. If there are any time away entries, those will be listed in the component.
- Locate the time away entry that you would like to edit or delete and click on the arrow in the row.
- From the menu that appears, select the applicable option (Edit or Delete).
