Collaboration Connect

Collaboration Connect is part of the TaskRay external collaboration suite. Collaboration Connect allows assigning tasks to external collaborators who do not have access to TaskRay or even Salesforce. This is a great option for use cases that require light involvement from external collaborators on projects.

About Collaboration Connect

Collaboration Connect provides a way to assign tasks to people outside of the organization. With Collaboration Connect, external task owners do not get full access to TaskRay or TaskRay data. Instead, they get access to specific tasks that are assigned directly to them. 

When tasks are assigned via this feature, external users receive an email with details about the assignment. From there, they can make minimal updates to assigned tasks, such as marking them as complete or sharing relevant updates. For this purpose, TaskRay leverages the Salesforce Sites technology along with a screen flow. The public site is used to host the screen flow that presents external users with options to manage assigned tasks.

By default, the screen flow provides the following options to external users: designating the task as complete and leaving comments. That said, the flow is customizable and it is possible to surface other fields and incorporate additional actions if needed.

Collaboration View requires one TaskRay license (included with the subscription) for setting up access. 

While not required, Collaboration Connect pairs well with the Collaboration View, which allows sharing project plans in read-only format via a public link. Collaboration View complements Collaboration Connect by providing external task owners with additional visibility and context of full project plans, relevant to the tasks assigned to them. If used together, the Collaboration View will also present a designated To Do interface that will organize externally assigned tasks from the project in a list format.
