Set Baselines

This feature is available to the following product editions
  • Standard
  • Premium

Setting a baseline on a project essentially creates a snapshot of the project, including its task groups and tasks, at a given point in time. Saved baselines can then be referenced in Plan View, as well as used for reporting to analyze how a project has performed over time. You can read more about viewing baselines in Plan View in this article.

In TaskRay, you can set as many baselines on a project as you need! There is no limit in terms of how many baselines are saved on a single project. You can set baselines in Plan View. Additionally, if you are using the TaskRay Customer Onboarding Kickoff Flow, you will also see the option to automatically set the initial baseline on the project as soon as the onboarding project is created.

 

What Do Baselines Track?

Out of the box, TaskRay will keep track of most standard fields from projects, task groups, and tasks. However, it is also possible to track additional custom information on baselines. For more information on tracking custom fields, see this article.

Below is a list of fields that are tracked on baselines out of the box.

Project Baseline

  • Project (this is the actual project on which the baseline is set)

Task Group Baseline

  • Task Group (this is the actual task group that is associated with the baseline)
  • Project Baseline (this is the parent project baseline associated with the task group baseline)

  • Task (this is the actual task that is associated with the baseline)
  • Project Baseline (this is the parent project baseline associated with the task baseline)

[Plan View] Set Baseline on a Project

  1. In Plan View, in the left sidebar, click on a project on which you want to set a baseline to enter single project view. Alternatively, you can use Single Project Search to select the project.
  2. Click on the Baselines button in the toolbar.

    Note: If you can't click on the Baselines button (button is inactive), check that you only have one project selected in the left sidebar. Baselines cannot be accessed when multiple projects are selected.
  3. Select Set New Baseline.

  4. This will open the Set New Baseline window. Optionally, enter any Notes that are relevant to the project baseline.
  5. Click Save.

The new baseline will be saved and will have the current date as its name. If you set more than one baseline in a day, every additional baseline will be numbered (e.g. (2), (3), etc.).

You can find all of your saved baselines under the Baselines menu or in the Manage Baselines window. Baselines will be listed in the order of the most recent at the top.

Customer Onboarding Kickoff Flow

If you are using the TaskRay Customer Onboarding Kickoff Flow for creating new onboarding projects, you will see the option to automatically set the initial baseline on the project that gets created via that process.

The TaskRay Customer Onboarding Kickoff Flow is designed to walk the users through creating a new TaskRay customer onboarding project, step-by-step, after an Opportunity is marked as Closed Won in Salesforce (or at any point as it makes the most sense for the associated Account). On the last screen of the TaskRay Customer Onboarding Kickoff Flow, you will see the option to set the baseline on the newly created project. If you select that checkbox, the baseline will be created on the new project automatically. The purpose of this option is to create a snapshot of the project at its initial stage as soon as it gets created. This information will be useful when looking back at how the onboarding project performed over time starting from day one.
