Using Flex Filters

This feature is available to the following product editions
  • Starter
  • Standard
  • Premium

Flex Filters are a powerful feature that allows you to filter your data in an ad hoc fashion. Flex Filters can be applied to board filter data and will refine those data outputs even further. These filters do not change the dataset until you apply them to the already existing filters. As a user, you will have access to one Flex Filter set. Please reach out to your Admin if you have any questions about your Flex Filter assignment or need adjustments to your Flex Filter. 

Enhanced Filtering admin customization will be available to the TaskRay Admin or any user with the custom permission "Enhanced Filtering Admin". 

 

Flex Filters

 On the left sidebar, under your Board Filters picklist, you will see your Flex Filters. Clicking on the carrot will collapse the filters. When the filters are collapsed there will be a note that indicates how many flex filters you have Active. Simply click on the carrot again to expand the filters. Using_Flex_Filters_Hide_and_open.gif

You will have access to several additional fields on which you can filter the data displaying in the main window. There are several different types of filters. There are several supported filter datatypes:  
  • Picklist: Dropdown list from which you can pick one or more values..
  • Checkbox or boolean: True/ False radio button, with the option to display both values. 
  • Lookup field: This allows you to enter text into the search functionality and lookup data across the platform. Multiple records can be Flex Filtered on simultaneously. 
  • Range: Date, percent, number, and currency fields can be filtered on using a range. Date fields support both relative (YESTERDAY, THIS WEEK, NEXT MONTH, etc) and calendar ranges.
Formula fields with supported output datatypes can be used as Flex Filters. Keep in mind that text and datetime datatypes are not supported.

How It Works

Board Filters will allow you to pull in a specific set of data based on a broad criteria. The Flex Filters will allow you to further refine that dataset on the fly. For example, you may be looking at data with the board filter "My Projects" that will be pulling in all projects in your org that are assigned to you. You can then use Flex Filters to further refine your search results by a specific date range. Here you can filter results based on the project's estimated end date.

You can select a specified date range using the drop down. This will filter based on any of the pre defined date ranges in the picklist. Alternatively,  you can click on the "Use Calendar Date Range" and enter in a custom date range based on your needs. This will filter down all projects owned by you that have an estimated project end date within the specified range.

Filtering on Multiple Criteria

You have the ability to use Flex Filters to filter your data on multiple fields. Within the same object, when you filter on more than 1 field it will operate as an "and" relationship meaning that it will filter on "1" and "2".  For example, if I am filtering on the Project Owner, Andrea Maliska and Estimated End Date of 'This Quarter' the filter will pull all projects assigned to Andrea Maliska and have an estimated end date within the current quarter.

If you are filtering on more than 1 object it will follow an "or" relationship where it will pull data that contain either "1" or "2".  For example, if you are filtering by the Project Owner, Andrea Maliska and the Task List- Prioritized, the filter will pull all of Andrea Maliska's projects regardless of task list and all tasks that are prioritized regardless of the Project owner.

Clearing your Filters

The easiest way to clear your filter is to click on the "Clear Filters" link to the right of the Flex Filters heading. If you navigate away from the page or Salesforce it will remember your most recent filter selections. You can also clear filters by selecting a new Board Filter or by your cache being cleared.
