We have enhanced our existing On-Hold feature. This enhancement provides more data and insight into the reasoning and timelines around projects that have been paused and resumed.
In order to surface this new tab, your organization must be on Premium edition, the On-Hold tab cannot be excluded via the TaskRay Global settings, and users will need Read Access for the On-Hold checkbox.
Instead of just using the On-Hold checkbox, we have created an additional tab on the project modal labeled ‘On-Hold’ where you can simply use the ‘Hold Project’ and ‘Resume’ buttons to pause and restart the project.
When you place a project On-Hold this way, it will generate an On-Hold record that will populate in the modal view. The additional details are now contained in an associated On-Hold Record that is automatically generated when you place the project On-Hold.
The newly created On-Hold record will provide you with new fields, like 'On-Hold Reason' and 'Notes', where you can enter pertinent information. It will also populate 'Current On-Hold Duration (days)' which will calculate how many days the project has been in an on-hold state. You can place projects On-Hold multiple times and it will create new records each time it is placed On-Hold so you can have historical data to report on.
The On-Hold checkbox and On-Hold date will still populate on the Project. Users will still be able to use the On-Hold checkbox to put projects On-Hold to put a project on-hold and it will create an On-Hold history record from that path as well. We recommend users utilize the On-Hold tab, so users get the full functionality.
Putting a Project On-Hold
To put a Project on hold,
- Open the Project Modal
- Navigate to the 'On-Hold' Tab
-
Hit the 'Hold Project' button
- This will generate an On-Hold History record within the modal
- Add any pertinent details regarding the hold
-
Details can continually be updated during the Project’s hold cycle.
- For instance, if you checked in with the customer 30 days after the initial hold, and have some relevant notes to add, these can be updated in the ‘Current On-Hold Information’ area.
- Once the project begins again, hit the 'Resume' button
Let’s say you are a project manager handling a customer onboarding project. The customer has reported that they will not have enough funding to continue the project until the second quarter of next year. To document this, you open the On-Hold tab, select the ‘Hold Project’ button and fill in the details regarding the customer's reasons.
Let’s fast forward to when the customer is ready to resume the project. You would simply select the resume button which would date stamp the On-Hold History record and calculate the duration of how long the project was on hold.
