Flux Capacity Permission Sets

This article helps a Salesforce System Administrator understand the permission sets included with the Flux Capacity AppExchange package and the importance of assigning both Flux Capacity AND TaskRay Permission Sets to your Salesforce Users.

Who Needs Permission Sets?

Many of your Salesforce Users may need permission set(s) assigned based on their role in using the system.

Flux Capacity AND TaskRay Permission Sets are NOT just for Flux Capacity and/or TaskRay licensed users.

Permission Sets MUST be assigned to:

  1. All licensed Flux Capacity Users
  2. All licensed TaskRay Users (even if not licensed for Flux Capacity)
  3. All Users that may trigger automation that will create/update TaskRay Tasks or Time (even if not licensed for Flux Capacity)
  4. All Users that have create and/or edit access to Opportunities (even if not licensed for Flux Capacity)

Failure to assign all of the above users with a Flux Capacity permission set may result in inaccurate data in Flux Capacity. For example, if a sales user triggers the creation of a TaskRay Project and Tasks but does not have a Flux Capacity permission set, that project will not be included in your Flux Capacity forecast because the sales user has not been given proper permission to create/update Flux Capacity objects.

Failure to assign all of the above users with a TaskRay permission set may result in permission ERRORS in Salesforce. For example, if a sales user updates an Opportunity Close Date, this triggers an update to the associated Forecast Project and its Tasks. If the sales user does not have a TaskRay permission set with Create, Read, and Edit access to TaskRay Tasks and TaskRay Projects, that update will fail and throw an error.

Flux Capacity User

The Flux Capacity User permission set gives users the necessary access to all Flux Capacity objects and functionality. See the table below for specific object and field permissions. This permission will be updated by Flux Capacity automatically anytime new permissions are required for Flux Users to take advantage of future releases.

Note: This permission set is only for internal Flux Capacity users. If you are using TaskRay Communities for external users that are Flux Capacity managed Resources, you must assign the Flux Capacity Community User permission set to those external users.

 

Flux Capacity Community User

The Flux Capacity Community User permission set is a replica of the Flux Capacity User permission set, with the difference being that it is compatible with Salesforce community license types.

Flux Capacity Admin

The Flux Capacity Admin permission set gives internal power users the necessary access to manage the Flux Capacity app. See the table below for specific object and field permissions. This permission will be updated by Flux Capacity automatically anytime new permissions are required for Flux Users to take advantage of future releases.

Important! This is a supplemental permission set. It is also required that the Flux Capacity User permission set is assigned to the power user. In other words, the power users will need to have both, the Flux Capacity User AND the Flux Capacity Admin permission sets assigned to them. 

 

The Flux Capacity Admin permission set contains the following custom permissions:

  • Flux Manage Time Away Plans: Ability to create and edit Flux Time Away records related to Time Away Plans and related to all users.
  • Flux Resource Activation: Resource Activation, Deactivation, and Refresh are restricted to only those with the Flux Admin permission set. This custom permission controls access to the disabled attribute on the Activate/Deactivate and Refresh Resource buttons in the Flux Resource header.

Flux Planner Viewer

The Flux Planner Viewer permission set gives users Read-only access to the Flux Planner UI. Without this permission set, a User cannot view the Flux Planner. This permission set does not replace the above Flux Capacity User permissions; this is an incremental permission set specifically for controlling access to the Flux Planner.
Users with this permission set will also see the Flux Planner tab inside the TaskRay app on Project and Task modal windows.

In addition to the Flux Planner Viewer permission set, users will need the System Permission “Run Flows” to ensure sufficient privileges when viewing the Planner in certain scenarios.

Flux Planner Admin

The Flux Planner Admin permission set gives users the ability to reassign TaskRay Task owners via the Flux Planner UI.

Important! This is a supplemental permission set, applied along with the Flux Planner Viewer permission set. In other words, resource managers will need to have both, the Flux Planner User AND the Flux Planner Admin permission sets assigned to them. 

 

Flux Allocation Manager

The Flux Allocation Manager permission set gives users edit access to the Allocation checkbox on the TaskRay Task object. This is an optional permission set that is only needed if you decide to use the Advanced Resource Allocation Model in Flux Capacity.

Flux User may only create/edit Individual time away associated with their Flux Resource. Only a Flux Capacity Admin with the "Flux Manage Time Away Plans" custom permission can create/edit Time Away associated to a Time Away Plan and Time Away associated with other Flux Resources.

Approved field is only editable by Flux Admins.
