Important
This article covers legacy Flux Capacity functionality.
- If you are in the beginning stages of setting up resource management functionality in your org, or if you are already using TaskRay Resource Management features, refer to the new Resource Management documentation.
- If your organization currently uses Flux Capacity for resource management, use this article if you need to get information on Flux functionality.
This article helps a Flux Admin add, update, and remove Team Members for a Flux Resource record.
What is a Flux Resource Team Member?
A Flux Resource is added to a Flux Team via the Flux Resource Team Member component. This connects the Flux Resource to a Flux Team and specifies the Flux Resource’s overall allocation to that Flux Team.
A Flux Resource can easily be added to and removed from Flux Teams or updated to change allocations to Flux Teams as needed.
Add a New Team Member
Follow these steps to create a new Flux Team Member for a Flux Resource record.
- Click on the Flux Resources tab.
- Locate the Flux Resource you wish to manage and click the Flux Resource link to drill into the Flux Resource detail page.
- Click Add Team Member.
- Select one or more Flux Teams from the list of available teams, then click Save & Next.
- This will bring you to the Manage Team Member(s) screen. Follow these steps to configure the new team member:
- Click the Active checkmark to set the new Team Member to active.
- OPTIONAL: Click the Make Primary button to make this the new Primary Team Member. Otherwise, you can leave the current team as primary.
- Set Percent Allocation to Team for the new Team Member
- You will also have to update the Percent Allocation to Team for any other active Team Member.
- The sum of allocation for all active Team Members for this Flux Resource must equal 100.00%.
- If you do not wish to establish an allocation for the new Team Member, you may leave it at 0.00%.
- Note: 0% allocation would be appropriate if you wish to make the Flux Resource available for selection from the Flux Assignment component as a member of this team but do not wish to allocate any portion of the Flux Resource’s targeted utilization to this team.
- Click Save to commit your changes.
Behind the scenes:
- Flux Resource becomes available for selection as a team member via the Flux Assignment components.
- Flux Resource is added to team capacity forecast and actual utilization reporting.
- Flux Capacity processes changes across the forecasting engine for this Flux Resource. TaskRay Tasks and Time related to this Resource may be temporarily locked.
Update a Team Member
Follow these steps to update an existing Flux Team Member for a Flux Resource record.
- Click on the Flux Resources tab.
- Locate the Flux Resource you wish to manage and click the Flux Resource link to drill into the Flux Resource detail page.
- Click Edit Team Members.
- Adjust any of the existing Flux Team Member settings:
- Click the Active checkmark to set the Team Member to active/inactive.
- Click the Make Primary button to make this the new Primary Team Member. The Primary Team is the default used when new Tasks are created manually or when a Flux Resource is assigned to a Task that is associated with a Flux Team that they are not a member of.
- Click Save.
NOTE: The Flux Team lookup field on the Flux Team Member object is locked to enforce a single point of team administration, via the Flux Resource’s “Team Members” component. All modifications/additions to team memberships must be made as instructed above.
If a user edits a Team Member record directly (on the native Salesforce page or via the API) and modifies the Flux Team lookup value, the following error is provided: "Flux Team can not be changed. Please use the Team Members component on the Flux Resource to add a new Team Member."
Changes to the Flux Team on Flux Team Members is prohibited to prevent altering historical utilization and schedule data.
De-activate a Team Member

- Click on the Flux Resources tab.
- Locate the Flux Resource you wish to manage and click the Flux Resource link to drill into the Flux Resource detail page.
- Click Edit Team Members.
- Uncheck the Active checkmark to set the desired Team Member to inactive.
- Adjust Percent Allocation to Team for the remaining active Team Member(s).
- The sum of Percent Allocation to Team for all remaining active Team Members for this Flux Resource must equal 100.00%.
- Click Save.
What Happens When Flux Team Members Are Changed?
Settings Updated: Flux Resource Team Member settings will be refreshed on all Flux Utilization records from the day of the edit forward. Flux Utilization records for prior dates (if present) remain as-is.
Let’s illustrate how this works with an example...
- Today is 10/16/2019. Your Flux Admin updates Ruth Testington’s Consultant team Percent Allocation to Team from 25% to 40%. All Flux Utilization records from 10/16/2019 forward for Ruth Testington’s Consultant Flux Team Members are updated with her new 40% allocation (i.e. the utilization targets and capacity deductions are adjusted based on the new %). Flux Utilization records prior to 10/16/2019 remain as-is.
Team Member De-activated: Flux Utilization records for the de-activated Team Member will be removed/deleted from the day after the edit forward. Flux Utilization records for prior dates remain as-is.
Let’s illustrate how this works with an example...
- Today is 10/16/2019. Your Flux Admin de-activates Ruth Testington’s Developer team member. All Flux Utilization records from 10/17/2019 forward for Ruth Testington’s Developer Flux Team Member are deleted. Flux Utilization records prior to and including 10/16/2019 remain as-is.
When settings are updated or when a team member is de-activated, Flux Capacity processes changes across the forecasting engine for this Flux Resource. TaskRay Tasks and Time related to this Resource may be temporarily locked.
For full details on all scenarios, read the What Happens When Flux Resources and Team Members are Edited? article.
Remove a Team Member
Once a Team Member is established, it cannot be deleted. Removing a Team Member is accomplished by de-activating the Team Member or Flux Resource record. See the section above for instructions to de-activate a Team Member.
