TaskRay AI - Licenses

TaskRay AI requires additional licensing. For more information, contact your CSM or success@taskray.com for more information. 

 

Configuration Overview

Below are the high-level steps for configuring this feature. These steps require Salesforce Admin privileges. 

  1. Install the TaskRay AI Package
  2. Assign Licenses
  3. Assign Permission Sets
  4. Enable TaskRay AI for Agents
  5. [Optional] Modify Task Page Layouts

 

Step 1: Install the TaskRay AI Package

The first step is to install the TaskRay AI Package. 

  1. In the AppExchange, navigate to the TaskRay AI listing.
  2. Click Get It Now.
  3. If prompted, click Log in to the AppExchange.
  4. Choose Install in Production or Install in Sandbox.
  5. Review the terms and conditions and check the I have read and agree to the terms and conditions checkbox.
  6. Click Confirm and Install.
  7. Select the type of users that you want to install TaskRay Dashboards for:
    • Install for Admins Only
    • Install for All Users
    • Install for Specific Profiles
  8. Click Install.

 

Step 2: Assign Licenses

After you purchase TaskRay AI licenses, you will need to assign them to the designated users to give those users access to the app.

Keep in mind, if you ever need to transfer licenses between users, you can follow the same process to do so.

  1. From Setup, navigate to Apps | Packaging | Installed Packages
  2. Click on Manage Licenses next to TaskRay AI
  3. Click Add Users
  4. Select users
  5. Click Add
     

Step 3: Assign Permissions

TaskRay AI access is managed by permission sets. After installation, it is necessary to assign permission sets to the designated users to ensure that they have the necessary level of access to the app. 

  1. From Setup, navigate to: 
    • Lightning: Users Permission Sets.
    • Classic: Administer | Manage Users | Permission Sets.
  2. Click on the name of the TaskRay AI - User permission set
  3. Click Manage Assignments
  4. Click Add Assignments
  5. Select users
  6. Click Assign
  7. Click Done to confirm
     

Step 4: Enable TaskRay AI for Agents

To enable TaskRay AI for your agents, you can either create a new TaskRay AI agent or you can grant TaskRay AI access to an existing agent. Choose either option A or B below. 

A: Create a TaskRay AI Agent

  1. From Setup navigate to Platform Tools | Einstein Generative AI | Agentforce Studio | Agentforce Agents
  2. Click + New Agent
  3. Choose Create from a Template
  4. Select the TaskRay AI template
  5. Click Next
  6. [Optional] Make any desired modifications to the topic selections. By default, all TaskRay topics will be added.
  7. Click Next
  8. Customize your agent by providing a Role and Company details.
    • Suggested Role: You are a project assistant that helps users manage TaskRay projects and tasks through natural language conversations. You enable task creation, planning, scheduling, progress tracking, and time logging to streamline team collaboration.
  9. Click Next
  10. Select the Language and Tone for your agent
  11. Click Create
  12. [Optional] Use the agent preview to test the selected topics
  13. In the bottom left corner, click Checklist to review your agent's readiness and finalize configuration
  14. Under Deploy Your Agent | Manage Agent Access select Go to Agent Access
  15. Add either a Profile or Permission Set to manage which users can access this agent
  16. Go back to the builder and click Activate

 

B: Enable TaskRay AI for an Existing Agent

  1. From Setup navigate to Platform Tools | Einstein Generative AI | Agentforce Studio | Agentforce Agents
  2. Select the agent you'd like to access TaskRay AI
  3. From the agent details, select Open in Builder
  4. If your agent is active, click Deactivate to make modifications
  5. Under Topics, click New then Add from Assest Library
  6. In the search box, type TaskRay
  7. Select the capabilities you'd like to enable for the agent from the list of available options
  8. Click Finish
  9. [Optional] Use the agent preview to test the selected topics
  10. [Optional] In the bottom left corner, click Checklist to review your agent's readiness and adjust any other configurations
  11. Click Activate

 

Step 5: Modify Task Page Layout(s)

If you plan to leverage the Create Tasks from Meeting Notes capability, you will need to modify the TaskRay Task page layout(s) to support documenting meeting notes on tasks.

  1. From Setup, go to the Object Manager
  2. Select the TaskRay Task object
  3. Click on Page Layouts
  4. Click on the name of the page layout you'd like to edit
  5. Under Fields search for Meeting Notes
  6. Drag the field onto the page layout
  7. Click Save
  8. Repeat steps 4-7 for all applicable page layouts

 

That's it!

Now your team can use TaskRay AI to drive their projects forward.
