Each capability is crafted to enhance your project management experience, helping you to stay informed, make better decisions, and achieve successful outcomes.

 

Capabilities

Prioritize Tasks

Prioritize Tasks helps users prioritize their workload to ensure they stay on top of high priority work and nothing slips through the cracks. Users can engage with the Agentforce and use simple conversation-based prompts to get summarized details about their most imminent priorities, bringing visibility to critical work and upcoming deadlines. This capability can be leveraged for prioritizing your personal workload or to prioritize the work across a project. 

Personal Tasks

To prioritize your personal workload:

  1. Open your Agent by clicking on the Agentforce icon in the upper right corner
  2. Ask the Agent to prioritize your workload. Below are some example prompts:
    • What should I work on today?
    • What should I do this week? 
    • What do I need to prioritize? 
  3. The Agent will respond with a prioritized to-do list

 

Project Tasks

To prioritize the work for a project:

  1. Open your Agent by clicking on the Agentforce icon in the upper right corner
  2. Ask the Agent to prioritize the project's work. Below are some example prompts:
    • What should be completed next on the Acme Customer Onboarding project? 
    • What should we do this week for the Acme Customer Onboarding project? 
  3. The Agent will respond with a prioritized to-do list of the project's tasks

 

Create Tasks from Meeting Notes

Create Tasks from Meeting Notes turns meeting notes and action items into scheduled, assigned tasks, reducing manual task entry and missed follow-ups. To take advantage of this capability, first document your meeting notes on the corresponding task for your meeting. 

  1. Open the TaskRay Task that represents your meeting e.g. "Kickoff Call"
  2. Find the Meeting Notes field
  3. Populate the field with your meeting notes or the summary from your call recorder
  4. Click Save

Now that the meeting notes are documented, users can engage with the Agentforce and use simple conversation-based prompts to create tasks to track the action items.

  1. Open your Agent by clicking on the Agentforce icon in the upper right corner
  2. Ask the Agent to create tasks for your action items. Below are some example prompts:
    • Are there any action items from my Kickoff Call? 
    • Can you create tasks to track the follow-ups from my last meeting? 
  3. The Agent will respond with a suggested task list. The agent will try to automatically assign out the tasks and set the due date, to align with what was discussed in the meeting
  4. [Optional] Adjust, add, or remove any of the suggested tasks
  5. [Optional] Adjust any of the owners or due dates of the tasks
  6. Confirm the details and the Agent will create the tasks
     

Summarize Projects

Summarize Projects helps answer simple questions about a project, so your Project Managers can stay focused on driving the project forwards rather than field questions. To get a project summary simply: 

  1. Open your Agent by clicking on the Agentforce icon in the upper right corner
  2. Ask the Agent to summarize a project. Below are some example prompts:
    • Where is the Acme Customer Onboarding project at? 
    • Summarize the Flatiron Industries project
  3. The Agent will respond with a summary of the project

 

Staff Projects

Staff Projects helps find the best resources for a project by looking at their workload. It can help assign out new projects that have just been launched, or swap out team members when project work needs to be transferred. To use TaskRay AI to staff projects:

  1. Open your Agent by clicking on the Agentforce icon in the upper right corner
  2. Ask the Agent to help staff a project. Below are some example prompts:
    • Who are the best resources to assign to the Acme Customer Onboarding project? 
    • Who's available to take on the engineering tasks for Flatiron Industries project? 
  3. The Agent will identify tasks that need to assigned/reassigned and what role is appropriate for the work
  4. [Optional] Adjust the selected tasks and suggested roles if needed
  5. Confirm your choices
  6. The Agent will suggest the best resources for the project 
  7. [Optional] Adjust any assignments
  8. Confirm your assignments and the Agent will assigned all of the work accordingly

 

Track Time

Track Time helps users log their time for the day or week, by guiding them through the tasks they completed during the time frame and collecting information about the time they spent on the tasks.

  1. Open your Agent by clicking on the Agentforce icon in the upper right corner
  2. Ask the Agent to help track your time. Below are some example prompts:
    • Can you help me log my time for the week?
    • Help me log my time for today 
  3. The Agent will provide a list of tasks that need time logged to them
  4. [Optional] Adjust the task list if needed
  5. Confirm the tasks
  6. The Agent will now go through each task one-by-one gathering information on the time you spent on the task, what day(s) you worked on the task, and any notes. 
  7. Repeat step 6 until time is logged on all of the tasks
