The Monday morning rundown

The moment. It is Monday, and building the week usually means opening every project one by one.

Try this

"Give me a rundown of everything I own this week across my TaskRay projects, ordered by deadline. Flag anything overdue or blocked, and tell me what to tackle first."

What happens. One prompt replaces the project-by-project crawl. You get your week, prioritized, with the risks on top.

What you need. Any TaskRay license. Scope is limited to the projects and tasks you own or can see.

Pro tip. Save this one and run it every Monday, and your assistant becomes a standing chief of staff.

The board sweep

The moment. Your Kanban board drifted from reality during a busy week, and cleanup is overdue.

Try this

"Move all my In Review tasks on the Acme project to Done."

What happens. Your assistant finds the matching tasks and queues the bulk move for your approval. You review the list, approve once, and the board is clean.

What you need. Any TaskRay license with edit access to the project.

Why the review step. This is the approval flow doing its job. You get bulk speed, and a human still signs off before anything changes across many records.

The blocker triage

The moment. Something is stuck somewhere, and you want all the stuck things in one place.

Try this

"List every blocked task across my projects with the owner, the deadline, and how long it has been sitting."

What happens. Your assistant pulls blocked tasks across projects and lays out who owns each and how stale it is, so your standup starts with answers instead of archaeology.

What you need. Any TaskRay license. Scope is limited to projects you can see.

The quick capture

The moment. A task surfaces mid-conversation, and you do not want to lose it to a sticky note.

Try this

"Create a task in the Q3 Launch project called Draft press release, due next Friday, high priority, assigned to me."

What happens. The task lands in the right project with the right fields set, and you never left the chat.

What you need. Any TaskRay license with edit access to the project.

The field update by voice

The moment. You are on-site with tools in hand, and the project just moved. Pulling out a laptop is not an option.

Try this

"Update my TaskRay tasks for the New Wave Solar install. Mark the technical audit complete. The customer wants to reschedule training, so update that. Move the final sign-off a week out from the new training date."

What happens. You say it once. Your assistant matches your project, finds each milestone (audit, training, sign-off), updates their statuses, records your spoken instructions in each task's description, and confirms what changed.

What you need. Any TaskRay license with edit access to the project. Works by voice-to-text in a mobile assistant or any surface where you can speak or type. It works best when your spoken project name is close to the real project name in TaskRay.

Pro tip. Use your real project name when you speak. Your assistant is good at matching, but "New Wave Solar" beats "that solar job I'm on."
