TaskRay provides flexible options for organizing tasks across different views, and it is possible to customize some of the options to provide users with additional flexibility to manage their work. In this article, you will find instructions for how to customize the following:
- Kanban View - Sort By: The Sort By control in Kanban View allows reorganizing tasks on the board.
- My Work - Group By: The Group By control in My Work allows grouping tasks by various criteria.
Modify Task Groupings Field Set [Admin]
The sorting and grouping options are controlled via one of the two Task Grouping field sets on the TaskRay Task object. To customize available options, you will need to edit the applicable field set.
- From Setup, navigate to Objects and Fields | Object Manager
- Select TaskRay Task.
- Navigate to the Field Sets section:
- Select the Task Groupings (Kanban and Row Views) to customize the sorting options for Kanban View.
- Select the Task Groupings (My Work View) to customize the grouping options for My Work View.
- Drag fields from the object palette and drop them into the In the Field Set container.
- Click Save.
Supported Field Types
Custom fields added to the TaskRay Task object can be used for grouping and sorting, but the two views support different field types. Check this table before adding a field to either field set.

Set the Default Grouping for My Work [Admin]
My Work does not save a user's Group By selection. Each time the page loads, it resets to the first field listed in the Task Groupings (My Work View) field set. In the out-of-the-box configuration that first field is Estimated End Date.
This means field set order is what controls the default grouping for everyone in the org. To change it, reorder the fields inside the field set so that your preferred field sits at the top. Users will see the new default on their next page load.
If your team plans work by start date rather than by deadline, move Start Date to the top of the Task Groupings (My Work View) field set. My Work will then group by Start Date every time it loads, with no other configuration needed.
There is currently no way for an individual user to save a personal default grouping that differs from the org-wide field set order. If this would be valuable for your team, submit a product idea on the TaskRay roadmap.
How My Work Group Headers Change by Field
When My Work groups by a date field, tasks are bucketed under headers: Unscheduled (the field is empty), a past-due header, then Today, Tomorrow, This Week, Next Week, and Later. The past-due header name depends on which field is selected:
- Grouping by Estimated End Date produces an Overdue header.
- Grouping by Start Date produces a Started In The Past header.
- Grouping by any other date field produces a generic In The Past header.
The "nothing due today" empty-state message likewise appears only when grouping by Estimated End Date. These differences are worth knowing before you make a custom date field the default grouping.
The date shown on each task row in My Work is always Estimated End Date, and it can be edited inline from the row. This is separate from the Group By control and cannot be changed to Start Date or another date field. Changing the grouping changes how tasks are bucketed, but each row still displays and edits Estimated End Date.
