The Time Tracking feature in TaskRay allows you to track time spent on working on tasks and projects.
There are a few different ways to track time in TaskRay, including Quick Add from the Task Card, entering time on checklist items, as well as through the Task Details. Additionally, users have the option to log time on tasks using the Timer functionality if they prefer tracking time in a stopwatch manner. You can read more about the Timer functionality in this article.
If you do not see the time tracking features discussed in this article, that means that time tracking is not enabled in your org. If you would like to use this functionality, direct your Salesforce administrator to the Enable Time Tracking article.
Quick Add Time from the Task Card
You can use the Quick Add Time functionality in the Kanban, Row, and My Work Views.
- Locate the Task Card for which you want to add a time entry and click on the Clock icon.
- This will open the Add Time box for the task. Enter the number of Hours worked.
- Optional: Change Date.
- If applicable, check the Billable checkbox.
- If applicable, select Type.
Note: The Type field is not visible on time entries by default. You can read more about setting Type on time entries in this article: Categorize Time Entries. - Optional: Add Notes.
- Click Save.
When entering time on the Task Card, you can also choose to Complete in Timesheet. This will navigate you to the Timesheet where you can finish logging time against the Task from within that view.
Add Time to a Checklist Item
You can also add time tracking entries to specific checklist items.
- Locate the task that contains the checklist item for which you want to add a time entry and open its Task Details.
- Click on the Checklist tab.
Tip: In Kanban and Row Views you can quickly access the Checklist tab from the Task Card by clicking on the Checklist icon.
- To the right of the checklist item, click on the Clock icon.
- This will open the Add Time box for the task. Enter the number of Hours worked.
- Optional: Change Date.
- If applicable, check the Billable checkbox.
- If applicable, select Type.
- Optional: Edit the Notes.
Note: The checklist name is automatically added to the Notes field, providing detailed reference to the checklist item when the time is rolled up to the task. - Click Save.
If you need to add additional time entries to the same checklist item, repeat the steps.
Add Time from Task Details
- Locate the task for which you want to add a time entry and open its Task Details.
- Click on the Time tab.
- Click Add.
- Optional: Change the Date.
- Enter the number of Hours worked.
- If applicable, check the Billable checkbox.
- If applicable, select Type.
- Optional: Enter Notes.
- Optional: Click on the Team Member icon to change the user if you are entering time on someone else’s behalf.
- Click Save.
If you need to add additional time entries, repeat the steps.
You can also edit and delete time entries. To edit, double click on any time entry or use the dropdown arrow to select Edit or Delete.
