Tasks can be archived and/or deleted if they are not needed to keep project plans clean and organized.
Archiving
Archived tasks are filtered out from TaskRay, but can still be reported on and viewed through the Salesforce interface. In cases where such tasks are needed for historical reference, archiving is the recommended approach for maintaining data integrity.
Archiving is often done at the project level, which automatically archives all related tasks. As a best practice, it is recommended to archive projects when they reach completion or when they are no longer actively managed to ensure optimal experience throughout the TaskRay app. When it comes to individual tasks, they can be archived on a one-off basis while their projects are still active.
Archive a Task Through Task Details
Tasks can be archived via their detail panes. For context, Archived is a checkbox field on the TaskRay Task object. Therefore, tasks can be archived by updating the checkbox field directly.
- Locate the task that you need to archive in any of the main TaskRay views and open its Task Details.
- Locate the Archived checkbox on the detail layout, click to edit it, and set it to true (checked).
- Click Save.
This will archive the task and remove it from the TaskRay interface. If needed, the task can still be viewed in the standard Salesforce interface and referenced in reports. If the task needs to be unarchived, that can be done by navigating to the task's record page in Salesforce and updating the Archived checkbox to false (unchecked).
Deletion
Tasks can be deleted if they were created by mistake or in other similar cases. Deletion of task records will adhere to Salesforce rules regarding permissions and role hierarchy. Deleted task records will be kept in your org's recycle bin for 15 or 30 days (depending on specific configurations) and can be recovered, if needed, during that timeframe.
- Locate the task that you need to delete in any of the main TaskRay views and open its Task Details.
- Click on Delete.
