My Work is a centralized place where users can view and manage their assigned tasks and checklist items, similar to a personalized to-do list. It presents a simple and intuitive interface for task management, allowing users to stay on top of deadlines and making it easy to manage assigned work through to completion.

My Work is available as an in-app view and as a Lightning Component that can be placed anywhere in Salesforce.

In this article, we provide an overview of the main functionality of My Work and showcase how users can incorporate the view into their daily workflows.

My Work | Functionality Review

Task Management

Think of My Work as your personal workspace: it is the place to manage all of your assignments and keep track of your priorities. Generally speaking, My Work contains all of your assigned tasks and checklist items and allows making updates to assignments to track your work progress.

Tasks and Checklists

In My Work, every task is represented by a card that displays key details and includes quick actions for task management.

If an assigned task has checklist items, you will see a chevron icon to the left of it.

If you have any open checklist items assigned to you on other users' tasks, those tasks will appear greyed out in the list and will display a label with the name of the task owner. my_work_-_another_user_my_checklist.png

Manage / Complete Tasks

My Work makes it easy to make updates to tasks and checklists as you work through them.

Best Practice Tip
As you work on your assigned tasks and checklists, make sure to update their statuses to track your work progress. Not only does it provide accurate metrics, but it helps ensure that every detail of your work is always accounted for.

To access task quick actions, hover over the status box in the task row. From here, you can block a task, change its status list, and complete the task. Once a task is completed, it will disappear from this view (you will still be able to find it in other views or in the standard Salesforce interface if needed).

Additionally, if you ever need to review detailed information about a task, click on the task name to open its detail modal.

Organization

My Work organizes assignments in a list-like interface and presents quick options for changing how the tasks are visualized. By default, you have three options for organizing and grouping tasks in this view: Estimated End Date, Start Date, and Priority. Using these options, you can reorganize the list of tasks depending on your workflow, whether you need to see approaching deadlines or address the highest priority tasks.

Your Group By selection applies to your current session. Each time you open My Work it returns to the default grouping set by your Admin, so if you always want a different starting point, ask your Admin about the field set order described in the Pro Tip below.

Each task row displays its Estimated End Date, which you can change directly from the row by clicking the date. This date stays the same regardless of which Group By option you choose.

Clicking on the grouping header or chevron icon will expand or collapse the section. You can also click on the Expand or Collapse links at the top of the view to quickly expand and collapse all groupings.

TaskRay Pro Tip | Customizing Grouping Options [Admin]
Options for grouping tasks in My Work are controlled by the Task Groupings (My Work View) field set on the TaskRay Task object, which an Admin edits from Setup. Standard TaskRay Task fields and custom fields can both be used, but only Date, Picklist, and Lookup field types will appear in the Group By control.

The first field listed in that field set becomes the default grouping for everyone in the org on each page load, so reordering the field set is how an Admin changes the default, for example by moving Start Date to the top. For full instructions, see Customize Task Sorting and Grouping Options.
Note | Changing the Date Shown on a Task Row
The date on each My Work task row is always Estimated End Date and cannot be changed to Start Date or another date field. Grouping by a different date field changes how tasks are bucketed into sections, but every row still displays and edits Estimated End Date. If a different row date would help your team, submit a product idea on the TaskRay roadmap.

My Work | In-App & Lightning Component

My Work is available as an in-app view and as a Lightning component. The Lightning component can be added to pages in Salesforce, including the home page and record pages. Additionally, the component can be added to the utility bar (if enabled), making it easy for users to manage TaskRay assignments from anywhere in Salesforce.

TaskRay Pro Tip | My Work Lightning Component

Note | Lightning Component Settings
In Lightning App Builder the My Work component exposes a single setting, Context Record ID, which scopes the component to a record such as an Account or a TaskRay Project. On an App or Home page, leave it blank to show the running user’s own work. On a record page the component picks up that record’s ID automatically, so a blank setting there scopes it to the record rather than to the user. There are no component settings for columns, date fields, or which tasks appear.
