Portfolio View is the place to see all your projects in a list-like format. This view is an essential tool for every project manager: it provides a seamless experience for monitoring project performance by making vital metrics and insights readily available.

In this article, we provide an overview of the main functionality of Portfolio View and showcase how users can incorporate the view into their daily workflows.

Portfolio View | Functionality Review

Organization

Portfolio View organizes projects in a table format. Each row in the table represents a project and each column displays project field values. If a project incorporates task groups as part of its structure, you will also see a chevron icon in that project's row. Clicking on the chevron expands the row to display how the project is structured and detailed information on task group progress.

Using the column headers, you can sort the table based on column field values.

Filtering

Portfolio View provides a robust filtering mechanism that allows pulling in subsets of projects based on defined criteria. Out of the box, TaskRay includes a set of standard filters, including All Projects, In-Flight Projects, My Projects, and others. It is also possible to configure custom filters to focus on subsets of projects as needed for your workflow, such as for different teams or initiatives in your organization. Portfolio View Columns

By default, the Portfolio View columns are configured to display basic project information, such as Project Name, dates, and progress details. It is possible to add and remove columns to surface different fields for projects, including other standard TaskRay Project fields and custom fields added to the object.

  1. To customize visible columns, click on the Settings Cog in the top right corner of the view.
  2. In the Configure Columns modal, locate the applicable field(s) in the Available Fields list and use the arrow button to move them over to the Selected Fields section.
  3. Optionally, use the up/down arrows to the right of the Selected Fields section to reorganize the order in which the columns are displayed in Portfolio View.

The Configure Columns modal also provides the option to Reset Columns to Default and Show/Hide Progress Bars.

Project Insights

In addition to visualizing project information in a table format, Portfolio View also incorporates functionality to view summarized project insights. 

  1. To view project insights, first select the applicable project(s) using the checkboxes on the left side of the project table.

  2. Once the projects are selected, you should see a red badge on the Insights tab in the right sidebar. Click on the tab to open it.

Within the Insights tab, you will see the following information:

  • Snapshot: This widget displays summarized information on how the selected projects are progressing toward completion, including the distribution of tasks by status, the number of blocked and overdue tasks, and time-tracking details (if enabled).
  • Milestones: This section lists all milestones for the selected projects, including details on milestone statuses and due dates 
  • Tasks at Risk: The Tasks at Risk section lists all tasks that are either overdue or are in a schedule conflict on the selected projects.
  • Tasks by Team Member: In this section, you will find information on how the tasks are distributed across different team members on the selected projects.

Export

There are a couple of options for exporting in Portfolio View.

 

Export the Project Table

  1. To export the Project Table, click on the Export button in the top right corner of the view.
  2. The following options are available for export:
    • CSV: This will generate a CSV file.
    • Print: This will print the table of projects. This option can also be used to save the export as a PDF.

Export Project Insights

You can also export the Project Insights that can be viewed in the right sidebar.

  1. Using the checkboxes in the table, select projects.
  2. Click on the Insights tab in the right sidebar.
  3. Within the Insights tab, click on the Export button. This will prompt the printing settings. This can also be used to save the export as a PDF.
